Client – Commco
Commco, specialise in audio visual integration, collaboration, and communication systems, delivering state-of-the-art solutions and services for organisations of all sizes. From consultancy, systems design, installation and project management, to after-sales support.
On setting up the business in 2019 Commco wanted to have the most flexible and cost-effective infrastructure that would also be able to scale as they grew and integrate with their chosen line of business applications such as the Oracle NetSuite ERP platform. They were sure that the right direction was Cloud but needed to understand how best to choose from the myriad of solutions and options whilst keeping control of running costs in the early days of building the business.
Communications were key, so any solution would need to provide collaboration around internal and external projects for the staff , clients and suppliers, as well as being secure and easy to access. They also needed to be able to bring new users on quickly and efficiently, and ensure they could contribute very quickly to the business and day-to-day processes.
Discovery – Understanding their business
Utilize arranged a set of initial meetings where a Technology Advisor and Infrastructure Consultant met with the Directors and discussed everything the business wanted to achieve. These weren’t “product” led meetings and were more focused around “how” Commco planned to operate, service their client base, run projects and what were the vital pieces of information to share and collaborate on. The Directors explained how they wanted to grow the business and what challenges would need to be considered for that “scale-up” to work, and how the solution would facilitate future growth and other integrated systems.
To deliver the flexibility and integration that Commco needed our team put together a cloud solution that meant Commco had no on-site servers from day one and all users were able to share and collaborate on project, document and client information very easily from their desktop or in a web browser. This also linked with their NetSuite solution, so everyone had the latest client data and financials, via a secure authentication. New users could be enrolled very quickly as Cloud meant there was no client software to install.
The system was secured with encryption on the Notebooks and two factor authentication as well as ransomware prevention. User training was vital too, Commco took advantage of the Cloud based education videos as part of Utilize support, so that everyone could get the most from the new technology.
In addition they also introduced an Ignite Cloud based telephony solution that allows for the flexibility to deploy new extensions quickly, from anywhere.
Costs are predictable and scaling the business had been simplified.
The Tech Bit
Commco are now a truly cloud business using many components from Microsoft 365 and Azure. This includes SharePoint and Teams for collaboration, MFA (Multi-factor authentication) for security and Sophos Central for anti ransomware and encryption. Working with our colleagues at Ignite, Commco also enjoy the advantage of the cloud telephony, domain management and secure Firewall technology. All of this was brought together with training and setup from our projects team, and Commco proactively working with Utilize and exploring how new technologies and services can further benefit the growth and sustainability of the business.
Note: Commco have also seen the clear benefit this has brought them in tackling the on-going COVID-19 business challenges. All users were able to simply log in to all of the business applications and telephony remotely with no fuss and continue to provide the great support their clients needed in these challenging times. Microsoft Teams forms the fulcrum of that with secure, fully featured video conferencing and collaboration.
